Surface Material Specification Checklist
A strong surface-material shortlist should be easy to verify after the meeting is over. Use this checklist to move from early visual research into a review package that includes source links, codes, finishes, dimensions, samples, and open questions.
Checklist for a review-ready material record
Record identity
- Brand name exactly as published by the manufacturer.
- Pattern name and pattern code.
- Material type, such as HPL, TFL, or solid surface.
- Source product page URL and the date it was reviewed.
Visual approval
- Current product image or full-sheet visual.
- Physical sample status and sample date.
- Color family, shade, pattern scale, and directional notes.
- Adjacent finishes or project palette items used during review.
Specification details
- Available finish name and finish code.
- Sheet size, thickness, substrate, or slab dimensions.
- Performance features required by the application.
- Fabricator, installer, or distributor confirmation when needed.
Substitution notes
- Reason the alternate is being considered.
- Known differences from the basis-of-design material.
- Required approvals before procurement.
- Final decision owner and documentation location.
Keep research notes separate from approvals
A catalog search can quickly identify promising options, but final approval usually depends on details outside a search interface. Availability, project performance requirements, LEED or other documentation needs, sample approval, fabrication method, edge condition, warranty terms, and lead time all belong in the specification review.
When a material is being substituted, record the basis-of-design product and the proposed alternate side by side. Note the reason for the substitution, what was checked, what remains uncertain, and who has authority to approve the change.

Practical Use
What to save with each shortlist
Save the product page, a dated screenshot or share image, the physical sample reference, the selected finish, and any manufacturer or distributor correspondence. Those details make it easier to revisit the decision if a product changes, a finish is discontinued, or a later construction phase needs a comparable alternate.
